1. Data We Collect

The Services collect and process data needed to operate Discord bots, websites, dashboards, verification systems, safety systems, and related integrations. Depending on the Service and how a server configures it, this may include:

• Discord account, server, channel, message, role, command, interaction, and permission identifiers.
• Server configuration, bot settings, templates, saved messages, logs, command inputs, and operational records.
• Moderation, modmail, ticket, note, warning, ban, appeal, audit, verification, safety, abuse-prevention, and ban-evasion-prevention records.
• Notification, subscription, delivery, weather alert, game/community coordination, and activity/statistics records.
• Content submitted to or processed by the Services, such as modmail messages, command text, message exports, summaries, AI/search prompts, attachments, embeds, and related metadata.
• Authentication, OAuth, session, cookie, diagnostic, security, technical, network, and device-related data needed to provide, secure, or verify access to the Services.
• Information received from Discord, server administrators, authorized server staff, users, public sources, and third-party services connected to a feature.

We do not intentionally collect payment card information. Paid features, if any, are handled by Discord or other third-party payment platforms.

2. How We Use Data

BetterBots uses data to:

• Provide, operate, maintain, debug, and improve the Services.
• Perform bot commands, moderation workflows, modmail workflows, notifications, alerts, statistics, verification, safety, and server administration features.
• Store server settings, user or server subscriptions, operational state, delivery history, and records needed for continued functionality.
• Process AI, search, summarization, proofreading, export, and similar requests.
• Prevent abuse, enforce rules, detect or reduce ban evasion, protect servers and users, investigate misuse, and preserve service integrity.
• Respond to support requests, privacy requests, security issues, platform reviews, legal requests, and compliance obligations.

Depending on the data and feature, BetterBots may process data on behalf of a Discord server, as part of BetterBots' own service operations, or both.

3. Server-Controlled and Confidential Records

Some data stored by BetterBots is controlled by the Discord server that uses the Services. This may include moderation records, modmail records, server configuration, saved server messages, logs, notes, activity/statistics records, operational history, verification records, and safety records.

We may decline to delete or disclose server-controlled, moderation, operational, safety, anti-abuse, audit, legal, or confidential records when retention or confidentiality is necessary for service functionality, server safety, abuse prevention, ban-evasion prevention, auditability, dispute resolution, legal compliance, or protection of the rights, privacy, or safety of other users, moderators, servers, or communities.

We may also limit access, export, correction, or deletion responses when providing raw records would reveal private server information, moderator notes, other users' data, internal safety practices, confidential investigation details, or information that could compromise abuse-prevention systems.

4. Sharing and Disclosure

BetterBots does not sell personal data and does not use personal data for targeted advertising.

We may share or disclose data:

• To Discord and through Discord features as needed for bot operation.
• To server owners, administrators, moderators, staff, or users according to server configuration, permissions, and feature behavior.
• To service providers that help operate the Services, such as hosting, infrastructure, storage, logging, security, AI/search, weather/game/platform API, OAuth, payment, and support providers.
• When directed by a user or server operator through a feature.
• When reasonably necessary for safety, security, abuse prevention, legal compliance, enforcement of our Terms, dispute handling, or protection of BetterBots, Discord, users, servers, or third parties.

Third-party providers process data under their own terms and privacy practices. You should not submit sensitive information to a feature unless you understand that the feature may send that information to a third-party provider needed to perform the request.

5. AI, Search, and External Processing

When you use AI, search, summarization, proofreading, export, or similar features, the content and context needed to perform the request may be sent to third-party AI, search, or processing providers. Outputs may be generated by those providers and returned through Discord or another Service interface.

Do not submit confidential, sensitive, private, or regulated information to these features unless you have permission and accept that it may be processed by third-party providers.

6. Retention

We retain data for as long as reasonably needed to provide the Services, maintain server configuration, support bot functionality, preserve moderation and safety history, prevent abuse, satisfy audit or dispute needs, comply with legal obligations, respond to platform requirements, or protect users, servers, and BetterBots.

Data that is directly controlled by a user and not needed for server operation, moderation, safety, abuse prevention, legal compliance, or dispute handling may be deleted or anonymized after a verified request. Server-controlled records may instead require action by the relevant server owner or authorized staff, or may be retained where continued retention is necessary and permitted.

Backups, logs, and cached records may persist for a limited time after deletion from active systems and are removed or overwritten through ordinary maintenance unless preservation is required for security, legal, audit, or abuse-prevention reasons.

7. Privacy Requests and Rights

Where GDPR, UK GDPR, CCPA/CPRA, or similar laws apply, you may have rights to request access, correction, deletion, portability, restriction, objection, or information about how your data is handled. 10. International Use
